Key Responsibilities:

  • The Property Manager is responsible for the delivery of management services to a portfolio of 25 residential leasehold and freehold developments. This role involves direct correspondence and liaison with the Client/Freeholder and Leaseholders on and off site and reporting to the client.

 

  • This role is based over Monday to Friday to meet the needs of our customers.’

 

  • The successful candidate will have experience of managing a junior level portfolio, with a view to progress TPI qualifications to Associate and Member level. They will have at least entry level knowledge and experience in current Landlord & Tenant Legislation and Fire Safety Legislation.

 

  • The Property Manager will manage their own work diary but will receive support and guidance where required by their Line Manager. They will carry out various property management tasks as directed by their Line Manager, and assist the Company to implement their policies and procedures to an agreed standard.

 

  • Respond to Directors, Freeholders and Developer client queries, requests etc., within 24-48 hours. Leaseholder enquiries should be responded to within 3 working days.

 

  • You must be well presented and courteous to Clients and Colleagues at all times.

 

  • Carry out site inspections as set out within the Management Agreements or more frequently if required to ensure the developments meet fire/health and safety standards, identify maintenance requirements, take meter readings on every visit and organise reactive repairs. Ensure that every development which you manage has all relevant insurance policies and current fire risk/health & safety reports in place at all times.

 

  • Reporting to the client on a regular basis is key, this will normally be via email or teams meetings. Alternatively a task list bulletin may be issued on a regular basis to leaseholders. Reporting will vary according to each development’s requirements.

 

  • Prepare service charge budgets for client review at least 10 weeks prior to the start of the service charge year and regularly review cash flow. Ensure that service charge demands are sent at least three weeks before they become due, to enable leaseholders and owners to review the information prior to the start of the new service charge year. Work with the Client Account Manager to obtain client approval on year-end service charge accounts. Experience of preparing at least two schedule budgets is essential.

 

  • Co-ordinate with the property management assistant to ensure that works are carried out in order to maintain your developments to the highest standard. The individual will also need to appoint approved contractors as appropriate to work at their developments including gardeners, cleaners, window cleaners etc. and to instigate major works through the Section 20 process if required.

 

  • Review and approve contractor invoices on at least a weekly basis to ensure payment is made in a timely manner or invoices are placed under query if required.

 

  • Ensure that all insurance, health and safety information, site inspection records, details of current RMC Directors and all other information relevant to the premises and the Management Company are kept up to date within Qube.

 

  • The Property Manager will need to ensure that all leaseholders/homeowners are adhering to the terms set out in their lease/transfer documents, and take the appropriate action where a breach occurs, with support from their Line Manager where required.

 

  • Provide the Management Agreement Administrator with development specific information where required, to assist with the agreement renewal process at least 4 weeks before renewal.

 

  • You will be required to attend occasional evening meetings (AGMs) and take minutes of meetings for circulation to the leaseholders. Experience of hosting an AGM is desirable.

 

  • Follow all The Property Institute’s approved standard procedure documentation at all times when dealing with matters relating to the clients/leaseholders.

 

  • The role will involve attendance at monthly in-house Property Management meetings (currently via Teams).
