PROCUREMENT ADMINISTRATOR

  • Rendall & Rittner • £Competitive, aligned to experience • Homebased

ROLE OVERVIEW

We need a Procurement Administrator who can keep our supplier onboarding process running smoothly, accurately and compliantly, so that the right contractors are approved and ready to work for our clients.

You’ll be the link between our Procurement team, Property Managers, Accounts Payable and external accreditation bodies, owning the onboarding journey from first contact through to a fully registered, compliant supplier.

The role is varied and detail led, giving you real visibility of how procurement supports the wider business and the chance to help shape how we do it.

ROLE EXPECTATIONS

This is a role that requires strong organisation, sharp attention to detail and confidence dealing with a wide range of stakeholders, from Property Managers to contractors and internal finance teams.

You will need to manage a steady flow of onboarding requests and open cases at the same time, prioritising your workload and following things up without needing to be chased.

You will be expected to spot gaps and delays early, keep cases moving and suggest better ways of working, not just process what lands on your desk.

WHAT SUCCESS LOOKS LIKE

You’ll be successful in this role if:

  • New suppliers are onboarded quickly, accurately and with all risk and compliance checks completed
  • Safecontractor accreditation is up to date and certificates are correctly held on our systems
  • Property Managers see you as a responsive, reliable point of contact for contractor queries
  • Cases are followed up and closed out in a timely manner
  • Process improvements you identify are adopted by the Procurement team

HOW YOU’LL SPEND MOST OF YOUR TIME

Most weeks, you’ll be:

  • Onboarding suppliers, collecting essential information, carrying out risk and compliance assessments and registering them on internal systems
  • Checking contractor status in Propman, our client accounting system, and working with the Accounts Payable team to add new contractors
  • Using the Safecontractor portal to check accreditation status and following up where needed
  • Liaising with the Dwellent customer service team to add Safecontractor certificates to accounts
  • Engaging regularly with Property Managers to help them get their contractors onboarded
  • Managing cases in Dynamics and chasing outstanding items until they are closed
  • Working closely with the Procurement team to identify and deliver process improvements

You’ll work from home, trusted to manage your time and priorities effectively.

WHO THIS ROLE IS FOR

This role suits someone who:

  • Is highly organised and comfortable prioritising a busy, varied workload
  • Communicates clearly and professionally with a wide range of stakeholders
  • Builds strong working relationships and manages expectations well
  • Enjoys working with data and can analyse and interpret information accurately
  • Takes pride in getting the detail right and seeing things through to completion

EXPERIENCE THAT HELPS

  • Previous administration, procurement, supplier management or compliance experience
  • Experience working with finance or accounting systems (such as Propman) and case management tools (such as Dynamics)
  • Familiarity with contractor accreditation schemes such as Safecontractor
  • Experience in property management or a similar service environment
  • A track record of improving processes

WHAT WE OFFER

  • Competitive salary, aligned to experience
  • Discretionary bonus
  • 25 days holiday plus bank holidays
  • Private medical insurance, life assurance and enhanced family leave
  • Fully funded training and professional development
  • Paid sabbaticals as a loyalty reward
  • Pension scheme and employee assistance programme
  • Discounts across travel, retail, fitness and entertainment
